Position Summary:
We are looking for a dynamic professional to support our Admin team in enhancing FSR Global’s operational efficiency and smooth coordination across various functions. This is an exciting opportunity for someone passionate about administration, event management, and efficiency, eager to work in a research-oriented environment. Key Responsibilities
1. End-to-End Event Management: Responsible for planning and executing highlevel events, workshops, seminars, conferences, and internal meetings. This includes coordinating with internal teams, partners, and vendors to ensure smooth execution of events.
2. Logistics Coordination: Manage all logistical arrangements such as venue bookings, audiovisual requirements, materials printing, catering, and on-site support. Maintain detailed checklists and timelines to ensure all aspects of event logistics are covered.
3. Panelist and Guest Coordination: Liaise directly with panelists, guest speakers, and participants for confirmations, session planning, travel and accommodation requirements, and
honorarium processing (if applicable).
4. Travel Booking and Arrangements: Handle travel-related bookings for team members, speakers, and guests including flights, accommodation, airport transfers, and reimbursements ensuring cost-effectiveness and timely confirmations.
5. Professional Communication and Email Handling: Draft and send professional emails independently for coordination with partners, vendors, and stakeholders. Maintain a proactive communication approach without relying on AI assistance.
6. Vendor and Stakeholder Engagement: Identify, evaluate, and coordinate with service providers including hotels, transport agencies, printers, caterers, and event vendors to ensure quality and timely delivery.
7.Budget Tracking and Documentation: Maintain event budgets, track expenses, and support documentation required for settlements, audits, or internal reporting.
Required Skills and Qualifications
Education:
Pursuing or recently completed a bachelor’s or master’s degree in Public Administration, Management, Communications, Event Management, or a related field.
Key Skills:
1. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
2. Strong written and verbal communication skills with the ability to draft professional emails and reports.
3. Excellent organizational and time-management skills with the ability to manage multiple priorities.
4. High attention to detail and problem-solving capabilities.
5. Ability to handle confidential information with discretion and professionalism.
6. Capacity to work independently as well as collaboratively within a team environment.
Preferred Experience:
• Prior experience in highlevel event management is a plus
• Familiarity with energy or sustainability sectors is a plus.
Remuneration: As per market standards in India
