FSR Global is a not-for profit independent regulatory hub of excellence focused on energy transitions in the Global South. Using a system thinking approach we aim at improving the quality of energy regulation by collaborating and co-creating knowledge with multi-stakeholders from the energy sector and beyond. We develop and disseminate knowledge through our 3-pillars of activities – training, policy dialogues and research, through Global North-South and Global South- South partnerships.

Position Summary: 

FSR Global is seeking a proactive and detail-oriented professional to lead and support event management and operational coordination across the organisation. This role is ideal for someone passionate about planning, logistics, and execution of high-impact events, while also contributing to efficient administrative processes. You will play a key role in delivering seamless conferences, workshops, and stakeholder engagements that reflect FSR Global’s mission and values.

Event & Workshop Management

  • Plan, organize, and execute high-level events, conferences, workshops, seminars, and stakeholder meetings—from concept to completion.
  • Collaborate with internal teams, partners, and vendors to ensure smooth event flow and high-quality delivery.
  • Develop and maintain event timelines, checklists, budgets, and progress trackers to ensure all milestones are met.
  • Manage event communication, including invitations, agendas, and post-event follow-up.
  • Handle on-site coordination, ensuring all logistics, branding, and technical requirements are efficiently managed.

Logistics & Operations

  • Manage end-to-end event logistics, including venue selection, AV setup, catering, travel, and accommodation arrangements for speakers, guests, and staff.
  • Oversee vendor and supplier coordination to ensure timely, cost-effective, and high-quality service delivery.
  • Support office administration and operations, including facility management, supplies, and travel coordination for internal teams.
  • Maintain documentation, expense tracking, and settlement records for events and operations.

Stakeholder & Vendor Coordination

  • Liaise with speakers, panelists, and participants for confirmations, travel arrangements, and logistics.
  • Build and maintain strong relationships with service providers and vendors (venues, printers, caterers, AV teams, etc.).
  • Draft and manage professional correspondence with vendors and stakeholders, ensuring clarity, accuracy, and proactive communication.

Administrative & HR Support

  • Provide administrative assistance to HR functions such as recruitment coordination, documentation, and onboarding support when required.

Budgeting & Documentation

  • Manage event and operational budgets, monitor expenditures, and prepare expense summaries and reports for reconciliation.
  • Maintain well-organized records, invoices, contracts, and internal documentation for audit and reporting purposes.

Required Skills and Qualifications

Education

  • Bachelor’s or master’s degree in Event Management, Business Administration, Public Administration, or Events /Communications (or a related field).

Experience

  • Minimum 2–3 years of experience in event management, operations, or administration.
  • Proven experience in planning and executing large-scale events or workshops.
  • Exposure to HR or office operations is an advantage, but event coordination experience is essential.
  • Familiarity with the energy or sustainability sectors will be a plus.

Key Skills

  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously.
  • Strong written and verbal communication skills, including professional correspondence and report writing.
  • Attention to detail, problem-solving ability, and proactive attitude.
  • Capacity to work independently and collaboratively in a fast-paced environment.
  • Demonstrated ability to manage vendors, budgets, and event logistics effectively.

Remuneration: As per market standards in India
