Position Summary: 

We are looking for a dynamic professional to support our HR & Admin team in enhancing FSR Global’s operational efficiency and smooth coordination across various functions. HR Support & Recruitment Coordination 

  • Support and coordinate end-to-end recruitment activities, including scheduling interviews, communicating with candidates, and ensuring a smooth candidate experience. 
  • Maintain and update recruitment trackers, candidate databases, and hiring status reports. 
  • Assist in preparing offer letters, joining documents, and recruitment-related records. 
  • Support onboarding by coordinating documentation, induction schedules, and HR compliance requirements. 
  • Maintain strict confidentiality of employee and candidate information. 
  • Provide administrative support within the HR/Administration vertical as required. 

Event & Workshop Management 

  • Plan, organize, and execute high-level events such as conferences, workshops, seminars, stakeholder meetings, and internal team sessions. 
  • Work closely with internal teams, partners, and external vendors to ensure seamless event delivery. 
  • Prepare detailed checklists, timelines, contingency plans, and event trackers to monitor progress and execution. 

Logistics & Operations 

  • Manage end-to-end event logistics, including venue booking, audio-visual arrangements, printed materials, catering, and on-site execution. 
  • Handle travel bookings for internal team members, speakers, and guests—covering flights, hotel accommodations, and local transportation—ensuring cost-effective solutions and timely confirmations. 
  • Oversee office and facilities requirements such as supplies, pantry items, utilities, and conference room bookings, while supporting infrastructure needs. 

Stakeholder & Vendor Coordination 

  • Liaise with speakers, panelists, stakeholders, and guests to confirm participation, coordinate session logistics, and oversee travel/accommodation arrangements, including honorarium processing when applicable. 
  • Identify, engage, and manage service providers (hotels, transport agencies, printers, caterers, AV teams, and other vendors) to ensure high-quality and timely service delivery. 
  • Draft and manage professional communications independently, including emails to vendors, partners, and stakeholders, ensuring proactive coordination. 

Budgeting & Documentation 

  • Track HR, event, and travel budgets; monitor expenses; and maintain accurate documentation for settlements, audits, and internal reporting. 
  • Maintain databases, invoices, and reports to support internal processes and financial reconciliation. 

Required Skills and Qualifications 

Education: 

Bachelor’s or master’s degree in Management, Public Administration, Communications or related degree. 

 Experience 

  • Minimum 2–3 years of experience in HR and Administration, with proven ability to manage recruitment processes and office operations. 
  • Prior experience in high-level event management is a plus 
  • Familiarity with energy or sustainability sectors is a plus. 

Key Skills: 

  1. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  2. Strong written and verbal communication skills with the ability to draft professional emails and reports. 
  3. Excellent organizational and time-management skills with the ability to manage multiple priorities. 
  4. High attention to detail and problem-solving capabilities. 
  5. Ability to handle confidential information with discretion and professionalism. 
  6. Capacity to work independently as well as collaboratively within a team environment. 

Remuneration: As per market standards in India
